AI & automation for hospitality

In hospitality, the margin is made and lost in the admin around the service, not the service itself. Reservations and no-shows, rosters rebuilt every week, function enquiries that go cold in an inbox, the standing orders and supplier quirks that only the owner remembers. When the person who knows how it all works is on the floor, the office work waits, and the business runs on memory.

The difference is how deep the integration goes. We build against the systems a venue already runs: ResDiary or Now Book It for reservations, Lightspeed or Square on the POS, Deputy for rosters, wired into Xero. Reservation and waitlist flows cut no-shows, function enquiries move from enquiry to quote to deposit without dropping, and rosters get built against actual POS sales instead of a guess. The storefront-to-back-office reconciliation runs itself.

We are honest about where automation does not belong. Hospitality is a people business, and the welcome, the room, and the food stay with your team. What we automate is the admin around them: the reconciliation, the rostering, the enquiry chasing, so the owner is not doing the books at midnight. And we document how the place actually runs, so it is not all held in one head.

/ What's included

Reservation and no-show automation

ResDiary or Now Book It connected to automated confirmations, reminders, and waitlist, so tables do not sit empty and the phone stops being the only channel. Only the genuine exceptions reach a person.

Function and group enquiry workflow

Enquiry to quote to deposit to run-sheet, automated so a high-value function booking never goes cold in an inbox and the details reach the kitchen and floor without being re-typed.

Rostering and reconciliation

Rosters built against POS sales data from Lightspeed or Square with a tool like Deputy, daily takings reconciled into Xero with exceptions flagged, and the specials, regulars, and standard procedures documented so the venue is not run from memory.

Measurement

Every automation tied to hours back or errors removed, agreed before we build. You know what it is worth before it exists.

/ Engagements & pricing

Discovery

$3,000 NZD fixed

Small, tightly scoped. Produces a prioritised map of where automation pays across the venue and what it would cost to build. A decision document, not a presentation.

Automation sprint

$5,000 to $25,000 NZD

One bounded problem, fixed price, working software at the end. Scope is locked before the build starts so there are no surprises on the invoice.

Baseline retainer

$4,000 to $8,000 NZD / month

A steady cadence through the backlog, re-prioritised against results each month. Suited to venues and groups with a long list of manual workflows to close systematically.

Frequently asked questions

Do you integrate with our POS and reservation system?
Yes. We build against what you already run: Lightspeed or Square on the POS, ResDiary or Now Book It for reservations, Deputy or Sling for rosters, and Xero or MYOB behind them. If a system has an API, we can almost certainly connect it.
Can automation reduce no-shows?
Yes. We wire reservation confirmations, reminders, and a waitlist to your booking system so tables turn over and gaps get filled, with the genuine exceptions surfaced to a person rather than lost. We do not promise a specific number; we measure the effect on your actual bookings.
Can you help with rostering for casual and seasonal staff?
Yes. We can tie rostering to your POS sales patterns through Deputy or Sling so cover is planned against real demand, which matters most when a season turns and the team has to flex hard both ways.
What does this cost?
A scoped discovery is fixed at $3,000 NZD. A bounded automation sprint runs $5,000 to $25,000 NZD depending on complexity. Monthly retainers sit between $4,000 and $8,000 NZD. Every engagement is quoted before any build begins.
